Most AI tools look useful in a demo. That is not the same as being useful in your business.

If you lead a company with real operating complexity, the question is simple: will this tool save time, improve output, or reduce risk without creating new work for your team?

Use the next 20 minutes to find out.

1. Start with the job, not the features

Before you look at the product, define the task you want to improve. Be specific.

If the vendor cannot tie the tool to one clear workflow, move on.

2. Check if it fits your current process

A tool can be smart and still fail if it does not match how work already moves through your team.

Ask these questions

If the answer adds manual cleanup, the tool may increase cost instead of cutting it.

3. Look at data risk fast

AI tools often create hidden exposure around customer data, internal documents, and compliance.

If the seller avoids direct answers, treat that as a warning sign.

Rule of thumb: if you would not let a junior contractor see the data, do not put it into a tool you have not vetted.

4. Test the integration, not the demo

Most subscription mistakes happen when the tool cannot connect cleanly to your systems.

Check whether it works with your email, CRM, file storage, help desk, or ERP. Then ask how much setup it needs.

5. Estimate the real cost

Price is not the subscription fee. It is the subscription fee plus setup, training, cleanup, and oversight.

If a cheap tool creates rework, it is expensive.

Finish with a simple yes or no

After 20 minutes, you should know enough to answer one question: does this tool remove effort from a real workflow, or does it just look useful in a demo?

If it solves one specific problem, fits your process, handles data responsibly, and connects to your stack, it may be worth a trial. If not, keep looking.
